Campaigning Protocol

1. It is ok to print fliers, distribute them on campus (in schools and departments and other places) - it is also ok to distribute videos and other promotional items. GSG funds may NOT be used for anyone's campaign.

2. It is ok to contact individual senators - however, candidates may NOT use the GSG listserv or the GSG Senator Google group to campaign. They may NOT post contents on the newsletter or on the website. Fliers or posters may not be posted in the GSG office on HSC or UPC.

3. Sitting E-board members who are not running are not allowed to help any candidates with their campaign. Sitting E-board members who are running are allowed to campaign for themselves, but not for other candidates.

4. When sending out messages to senators, sitting E-board members who are candidates should use their personal e-mail addresses, not their GSG accounts.

5. "Slating" is not allowed. i.e. candidates should not run as a "group". This policy is enfored to allow a fair competition to everyone whether they are re-running or running for the first time.

6. Candidates' statements are posted online and linked below. If candidates want to make their own "promotional websites" they can send the link to Director of Elections & Recruitment (gpsser@usc.edu) and the webpages can be linked to their statements.

Elections Procedure - under review by senate

The elections procedures are being revised by the Director of Elections & Recruitment and will be  voted on by the senate in the February 28th senate meeting.  The Intent to Run Form will remain the same and all candidates will be updated regarding the results of the senate's vote.

GSG Senators (around 70 in number), representing various educational graduate departments/schools of USC are the "voters" who vote to elect the Executive Board. The names of GSG Senators are given at this webpage (click here) >>

If you prefer to use Facebook, GSG group on Facebook is here >>

Election will take place in the order given in Section 4.2 of GSG Constitution. i.e.

  • President/Chair.
  • Vice President.
  • Finance Chair.
  • Elections & Recruitment Chair.
  • Social Programming Chair.
  • Community and Special Events Chair.
  • Communications Chair.
  • Public Relations Chair.
  • Academic Affairs Chair.
  • Campus Affairs Chair.
  • Health Sciences Campus Chair.

For example, for the first position (say President) the candidates will be called upon (in alphabetical order, last name) to give a two minutes speech; followed by maximum of three questions from the Senators. After that the candidate will be asked to leave the room and wait outside. Once the candidate goes outside, the Elections & Recruitment will ask if someone wants to SECOND the said candidate. The "Seconding person" can give a short speech of about one minute also (optional). SECONDING is mandatory. Therefore, candidates should ask either a sitting Senator or any other graduate student to SECOND them beforehand i.e. to be present at the Elections meeting and do the SECONDING when asked by the Elections & Recruitment . After this if someone wants to give a PRO or CON statement for the candidate, they can do so. Each CON has to end with a PRO. A maximum of three such iterations are allowed.

The same procedure will be repeated for each Candidate for a specific position.

When all candidates are done, then (with the candidates outside the room), secret balloting will take place (either with clickers or with hand-written votes). When all the votes are counted (clickers) or collected (paper vote), then the candidates will be allowed to come in to the room, and the winner will be announced for that position.

At this stage, election for the second position will start, with the same procedure as given above.

Those candidates who do not get elected to the position of their first choice will tbe given the option if they want to run for a second position, according to the hierarchy given above. For example, if someone is running for the position of President, and does not get elected, they can opt to run for any other position down the list. This option can only be exercised ONCE.

Read and understand all duties and responsibilities: ( Please note that for "Communications Chair" position, web-technology background is very desirable !!!! )
